How QuarterTime uses AI, and how we keep you in control. Last updated: 21 June 2026.

What the AI does

QuarterTime uses AI (Anthropic's Claude) for the conversational assistant: answering your questions, drafting parent messages, and helping you plan. It is a helper, not the coach. It speeds up the busywork so you can spend your time with the kids.

What is NOT AI

The parts that have to be correct are deterministic, not guesswork. Training sessions are built directly from a library of real AFL drills using the official 4-Quarters model. Fair rotations are calculated by a fixed algorithm, not generated by the AI. Rules, ball sizes and field sizes come straight from the AFL junior rules, adjusted for your age group. The AI describes these results in plain language, but it does not invent them.

How fair rotations are decided

Rotations are built to give every player a fair share of game time, not to field the strongest line-up. The algorithm ranks players by how much field time they have had (this game and across the season) and gives the next quarter to whoever has had the least, so nobody is benched twice while a teammate has not been benched at all. Positions are spread out so players are not locked into one spot. This follows the AFL's minimum game-time guidelines. Every sheet comes with a short explanation of why it was built that way, and you can change any position by hand on the magnet board.

What data the AI sees

To answer your questions the assistant uses your team details (name, club, age group), your roster, your saved session plans, your games and rotations, and recent conversation history. It does not use child photos, medical records, or anything you have not entered. Weather comes from the Bureau of Meteorology model via Open-Meteo. See our Privacy Policy for the full detail.

You are in control

Suggestions are guidance, not instructions. You review everything before it is used or sent. Messages to parents are always shown to you as a draft and only go out when you say so. You can edit any session plan or rotation by hand. Your coaching judgement always comes first.

Reliability and cost guardrails

If the AI is ever unavailable, the rest of the app keeps working and the assistant tells you plainly rather than failing silently. We track the cost of every AI request and cap daily spend, so a fault can never run up an unbounded bill. When the assistant cannot help, it points you to what you can still do in the dashboard.
